Gas safety certificate reminders for landlords

Published · Updated

How often does a landlord need a gas safety check?

It depends on whether you provide gas appliances or flues. As of October 2026, regulation 36(3) of the Gas Safety (Installation and Use) Regulations 1998 requires each appliance and flue covered by that duty to be checked for safety within 12 months of being installed, and then at intervals of not more than 12 months since it was last checked. The same regulation requires the check to be carried out by, or by an employee of, a person on the register approved by the Health and Safety Executive. That register is the Gas Safe Register.

The regulations apply in England, Wales and Scotland. Northern Ireland sets out its own domestic gas duties. A starting page is nidirect's domestic gas installation guidance.

Existing tenants must receive a copy of the record within 28 days of the check. A new tenant must receive the latest record before they move in. You keep your copy until two further checks have been done.

The date to put in the reminder

The useful date is the deadline, which is 12 months after the last check that counts. Regulation 36A lets you have the check done in the two months before the deadline and still treat it as done on the deadline date. A check earlier than that window sets the next deadline 12 months from the day of the visit.

The gas safety expiry calculator turns the last check date into the due date, the day the two-month window opens, and a reminder suggestion. The longer explanation of records, access and the early window is the gas safety certificate guide.

How Gaffy reminds you

Upload the gas safety record on the property and enter the expiry date. Use the legal deadline, including where you renewed inside the two-month window. Gaffy emails you, and writes an in-app reminder, 90 days, 30 days and 7 days before that date, and once the date has passed. On the document you can pause reminders for 30 days. Certificate expiry reminders can be switched off in settings.

You arrange the Gas Safe visit. Gaffy keeps the record on the property and sends the reminder.

As of October 2026, Gaffy is free for the first month, with no card needed to start, then £12 a month for up to 5 properties, plus £4 a month for each additional property.

Gas safety reminder FAQs

How often is a landlord gas safety check required?

At intervals of not more than 12 months for each gas appliance and flue covered by regulation 36 of the Gas Safety (Installation and Use) Regulations 1998. A new appliance is checked within 12 months of installation. The check is done by a Gas Safe registered engineer.

Which date should I save, the visit or the deadline?

Save the deadline. A check in the two months before the deadline, under regulation 36A, still counts as done on the deadline date, so the next due date stays 12 months after that deadline. A check before that window sets the next due date 12 months after the visit.

When does Gaffy email me about a gas safety certificate?

When the gas safety record is saved on the property with an expiry date, Gaffy emails you and writes an in-app reminder 90 days, 30 days and 7 days before that date, and once the date has passed. You can pause reminders for 30 days on the document.

Does Gaffy book the gas safety check?

You book the Gas Safe engineer. Gaffy stores the record against the property and sends the reminder before the expiry date you entered.
