Property portfolio software for landlords with more than a few doors

Published · Updated

One view of repairs and certificate status across the portfolio. Every property's gas safety, EICR and EPC in the same place, with a reminder before the date, and the repair history next to it.

The first month is free. After that, £12 a month covers 5 properties and each extra property is £4 a month. Ten properties is £32, twenty is £72, thirty is £112.

What's the best way to manage a portfolio of more than 5 properties?

It depends. If the gap is repairs and certificate dates across more than five properties, one inbox and a document vault on each property covers it. Certificates expire in different months, several tenants can report at once, and a tradesperson's number is easy to lose in a phone. That is not a dashboard of yields, mortgages and tax. If the gap is the books, use an accounting tool: Gaffy does not collect rent or do the accounts.

One flat is a folder and a chat. A larger portfolio is the same folder and the same chat, several times, with dates that do not line up. The failures are ordinary, and none of them needs a made-up statistic.

  • Certificates expire on different months. The gas safety on one house, the EICR on another, an EPC you only remember when you come to re-let.
  • Repairs arrive from several tenants at once. Two leaks in one evening look the same in a chat until you have lost which property was which.
  • The tradesperson who knows that boiler is in your phone, under a first name, and the note of what they charged is in an email from last year.

Gaffy is an inbox and a document vault for that job. It is not a portfolio dashboard of yields, mortgages and tax.

What you can see across the portfolio

  • A document vault on each property, and a view of which certificates are due.
  • A maintenance inbox that covers every property, not a separate thread per house.
  • Repair history on the property, so the next visit starts from what already happened.
  • Contacts for the people you use, kept with the work rather than only in a phone.

Tenants still use a link. They do not download an app. You still choose the tradesperson. Gaffy does not book them.

Pair it with your accounting tool

Gaffy does not do the books, Making Tax Digital, rent collection or tenant screening. Keep the accounting tool you already trust, or a spreadsheet, and use Gaffy for the repairs and the certificates. The best landlord software UK comparison lists August, Landlord Studio, Hammock and PaTMa for the accounting job, with prices checked on 19 October 2026. Landlord Vision’s own prices are on Gaffy vs Landlord Vision, and the full set is on Compare.

HMOs and licensing

An HMO adds paperwork: the licence where the council requires one, and more people reporting repairs. Gaffy holds the repair history and the certificate files. It does not apply for the licence. Read HMO paperwork without an agency and the licensing pages for the council rules.

If you want to see what a tenant actually sends, try the tenant repair form. It is a demo. Nothing is saved, and we do not add your properties for you on that page.

Property portfolio software FAQs

What is property portfolio software?

A way to see repairs and certificate dates across more than a handful of properties, instead of a separate chat and folder for each one.

How much does Gaffy cost for 10 / 20 properties?

£32 a month for 10 properties and £72 a month for 20, after a free first month. The price is £12 a month for up to 5 properties, then £4 a month for each extra property.

Does Gaffy track mortgages, yields or tax?

No. Gaffy does not track mortgages, yields or tax. Keep that in your accounting tool or spreadsheet.

Does it work for HMOs?

It works for the repairs and the certificate files on an HMO. Licensing rules depend on the council. See the HMO paperwork guide and the licensing pages. Gaffy does not apply for a licence for you.
